Velvet Media, in its capacity as Data Controller of personal data, with headquarters in Castelfranco Veneto, Via delle Querce 7, hereby wishes to provide adequate information to individuals operating also in the name and on behalf of suppliers, customers, partners and other persons involved in contractual, pre-contractual activities or as users of services provided pursuant to Articles 13 and 14 GDPR 2016/679 - "European Regulation on the protection of personal data".

1. Data subject to processing

The personal data processed are personal and contact data provided or received by the data subject on the occasion of:

  • visits or phone calls or emails;
  • direct contacts obtained as a result of participation in events, etc..

  • requests for commercial information, proposition of offers;
  • requests through our websites or through the websites of suppliers, customers, partners, other subjects;
  • transmissions and transactions subsequent to orders for the provision of services or goods (supplied/purchased);

2. Purposes of the treatment

The personal data of the physical persons who operate in the name and on behalf also of suppliers, customers, partners and other subjects are treated for:

  • formulate requests or process requests received

  • exchange of information aimed at the execution of the contractual relationship, including pre- and post-contractual activities, including those of assistance and support;
  • execution of obligations under laws, regulations or Community legislation, as well as to comply with measures issued by public authorities entitled to do so or by supervisory and control bodies to which Velvet Media is subject (eg. tax audits, etc..)

  • for accessory purposes, for example "News Alerts" via email or sms. In reference, for example, to cases of communications for data breach events. The data subject may refuse to provide the Controller with his/her personal data. However, the conferment of personal data is necessary for a correct and efficient management of the contractual relationship with suppliers, customers, partners and other subjects involved in the activities of the Owner (such as, for example, the provision of services, the search for personnel or the sale of goods). Therefore, any refusal to provide such information may compromise all or part of the contractual relationship itself or the pre and post contractual activities.

3. Legal basis

Processing for the performance of a contract to which each party is a party or for the performance of pre-contractual or post-contractual measures taken at the request of the supplier, customer, partner, other parties or Velvet Media, in accordance with Art. 6.1(b) of the GDPR), is necessary for the performance of a legal obligation in accordance with Art. 6.1(c) of the GDPR).

4. Methods of processing

The data will be processed in accordance with the principles of lawfulness, correctness and transparency, using manual or automated tools, including through the insertion in databases, lists and lists suitable for storage, management and transmission of data, in the manner and within the limits necessary to achieve the above purposes.

Velvet Media has implemented a system of data processing.

Velvet Media has provided adequate security measures to protect the data of individuals who work in the name and on behalf of suppliers, customers, partners and other subjects, by way of example: Firewall, antivirus, virtual machine, encrypted back up.

The data will be processed exclusively by persons authorized to the treatment within Velvet Media, in relation to the purpose of the treatment.

5. Recipients of the data

The personal data processed by the Data Controller will not be disclosed, that is, it will not be made known to unspecified subjects, in any possible form, including that of their availability or simple consultation. They may, however, be communicated to the workers of the Owner and to some external subjects who collaborate with them, always in compliance with the indicated purposes. In particular, these are employees/collaborators/external suppliers who, on the basis of their roles and duties, have been authorized to process personal data, trained to do so within the limits of their competence and in accordance with the instructions given to them by the Data Controller. They may also be disclosed, to the extent strictly necessary, to persons who for the purpose of issuing orders, requests for information and quotes or the formulation of offers, services, must provide goods and / or perform on behalf of the Owner services or facilities. The data could be accessed (for purposes of assistance on SW applications, computer networks and connectivity) our technical employees or external consultants or employees of companies that provide these services. Finally, they may be communicated to the subjects entitled to access them by virtue of provisions of the law, regulations, Community legislation. The updated list of data processors, where required, is available at the headquarters of Velvet Media.

6. Transfer of data

The Data Controller does not transfer personal data to third countries or international organizations: personal data are stored on servers located within the European Union.

Where necessary, the Owner will have the faculty to move personal data also outside the EU. In this case, the Data Controller assures, as of now, that the transfer of data outside the EU will take place in compliance with the applicable law provisions, subject to the stipulation of the standard contractual clauses provided by the European Commission.

7. Data retention

The Data Controller stores and processes personal data for the time necessary to fulfill the purposes indicated. Subsequently, personal data will be stored according to what is documented in our Treatment Register. The retention period may vary significantly depending on: purposes, type of data processed, legal obligations.

When it is no longer necessary to retain personal data, it may be deleted or de-indexed or securely destroyed in accordance with our policy.

8. Rights of the interested party

According to articles 15 to 22 of the Regulation, you may exercise the following rights:
